Privacy Policy — Ane Antrin

The Archive is built on trust — in the pieces we find, and in the people who choose to keep them. This policy sets out plainly how we handle your personal information. We collect only what we need, use it only as described below, and will never sell it.

Who We Are

Ane Antrin operates this website and store from our offices at Liberty House, Suite 19, 15 Cromarty Campus, Rosyth, KY11 2YB, Scotland. For the purposes of UK data protection law, we are the data controller of your personal information. You can reach us at any time at archivist@aneantrin.com.

Where there is any conflict between our Terms of Service and this Privacy Policy, this Privacy Policy controls in matters of data collection and use.

What We Collect

When you place an order or create an account, we collect the information you give us directly — your name, delivery address, email address, and phone number. Payment details are handled securely by our payment processors; we do not store your card information ourselves.

When you browse the website, certain information is collected automatically: your IP address, browser type, the pages you visit, and how you navigate the site. This is standard to almost all websites and helps us understand how the Archive is being used.

If you contact us by email, we retain those communications in order to respond to you and keep a record of our correspondence.

How and Why We Use Your Information

UK data protection law requires us to have a lawful basis for each way we use your personal information. Here is how that applies to Ane Antrin:

To fulfil your order — processing payment, arranging shipping, and handling any returns. We do this because it is necessary to perform our contract with you.

To communicate with you — responding to enquiries and sending order or account updates. This is necessary to perform our contract, or to respond to a request you have made.

To send you news of new arrivals — only where you have given your consent. You may withdraw this at any time by using the unsubscribe link in any email we send, and we will not contact you for marketing purposes again.

To keep the Archive secure — detecting and investigating potentially fraudulent activity. We do this on the basis of our legitimate interests in protecting the business and its customers.

To meet our legal obligations — retaining transaction records as required by HMRC and under our obligations as a licensed second-hand dealer. We are required by law to do this regardless of any other preference you express.

We do not use your information for targeted advertising on third-party platforms, and we do not share your data with any third party for marketing purposes.

Who We Share Your Information With

We do not sell your personal information. We share it only where necessary to operate the Archive:

  • Shipping partners (Royal Mail, DHL) receive your name and delivery address to fulfil your order.
  • Payment processors handle your payment details securely via our e-commerce platform's PCI-compliant infrastructure. We do not receive or store your full card details.
  • Legal or regulatory authorities where we are required to disclose information by law, court order, or to protect our rights or those of others.

Any third party acting on our behalf is required to handle your information securely and only for the purposes for which it was shared.

How Long We Keep Your Information

We keep your information only for as long as we need to. In practice, this means:

Order and transaction records are kept for a minimum of six years from the end of the relevant tax year, as required by HMRC and by our obligations as a licensed second-hand dealer.

Account information is kept for as long as your account is active. If you ask us to delete your account, we will remove your personal data except where the law requires us to retain it.

Marketing preferences are kept until you unsubscribe or ask us to remove you, whichever comes first.

Email correspondence is kept for up to three years, or longer if it relates to an ongoing matter.

Once retention is no longer required by law or legitimate need, your information is securely deleted.

Your Rights

Under UK data protection law, you have the right to access, correct, or delete the personal information we hold about you, to object to or restrict how we process it, to withdraw consent where we rely on it, and to receive a copy of your data in a portable format. These rights are not absolute and may be subject to legal exceptions, but we will always respond to any request openly and in good faith.

To exercise any of these rights, please write to us at archivist@aneantrin.com. We will respond within one calendar month as required by law, and may need to verify your identity before processing your request.

If you are not satisfied with how we have handled your information, you have the right to lodge a complaint with the UK Information Commissioner's Office at ico.org.uk.

Cookies

We use cookies to make the website function — keeping your basket active, remembering your preferences, and helping us understand how the Archive is being used. Strictly necessary cookies are placed automatically. Any non-essential cookies will only be set with your consent, which you can manage via the cookie preference centre on this site or through your browser settings.

International Transfers

Your information may be stored or processed outside the United Kingdom — for example, by the third-party services we use to operate the store. Where this happens, we ensure that appropriate safeguards are in place in accordance with UK data protection law, such as standard contractual clauses approved by the Information Commissioner's Office.

Third-Party Links

The website may occasionally link to external sites. Once you leave the Archive, this Privacy Policy no longer applies, and we are not responsible for the privacy practices of other websites. We encourage you to read their policies before sharing any personal information.

Children

The Archive is not intended for use by anyone under the age of 18, and we do not knowingly collect personal information from minors. If you believe a child has provided us with their details, please contact us and we will arrange for the information to be deleted.

Changes to This Policy

We may update this policy from time to time to reflect changes in our practices or legal requirements. Any revisions will be posted on this page with an updated date. For significant changes, we will notify you directly where required by law.
